Regulations

 

Please read the rental regulations carefully. Acceptance of the regulations is required to proceed with the service.

§ 1. Definitions

  • Guest/Tenant: a natural or legal person who enters into an apartment rental agreement with Baltic-Apartments.
  • Baltic-Apartments: a company providing vacation apartment rental services in Świnoujście.
  • Apartment: a residential unit available for daily rental, offered by Baltic-Apartments.
  • Agreement: the apartment rental agreement between the Guest and Baltic-Apartments.
  • Deposit: a monetary amount paid by the Guest as security for any potential claims by Baltic-Apartments for damages caused to the apartment.

§ 2. Apartment Booking Rules

Apartment reservations can be made:

  1. Online: using the booking system on the Baltic-Apartments website or on external portals.
  2. By email: by contacting a Baltic-Apartments representative.

After reviewing the offer, the Guest can make a preliminary reservation electronically, which holds the selected date for 15 minutes. The Guest must then make a prepayment via PayPal, PayU, BLIK, Pay by Link, Google Pay, or Apple Pay (either for the entire stay or a specified portion along with the cleaning fee) to confirm the full reservation.

For preliminary reservations made via email, a Baltic-Apartments representative will confirm the rental date and price within office hours. The Guest will receive a booking confirmation, including the price, rental period, deposit amount, and a payment link.

The Guest must pay a deposit of 30%-50% of the total rental price within 3 business days (the amount depends on the rental period). During peak seasons, the deposit is 100% of the total rental price. Timely payment of the deposit constitutes acceptance of the rental agreement and regulations. Failure to make the payment within the specified time will result in automatic cancellation of the reservation without notification.

The remaining balance must be paid in cash, by card, or with a tourist voucher on the arrival day to a Baltic-Apartments representative or via bank transfer.

Reservation modifications must be made in writing and will be subject to mutual agreement. The Guest may modify their reservation up to 3 days before arrival. Modifications include personal details, contact information, number of guests, and pet stay. All reservations with Baltic-Apartments are non-refundable unless a refund is agreed upon individually (e.g., in cases of force majeure, such as a pandemic, war, natural disasters, state of emergency, or border closures).

§ 3. Start and End of Apartment Rental

Keys are handed over to the Guest at the Baltic-Apartments office at Jana Matejki 13/1, 72-600 Świnoujście. Check-in is on the booked date between 3:00 PM and 5:00 PM. Arrivals outside these hours must be arranged in advance. Failure to arrive on the check-in date will be considered a contract termination.

Upon check-in, the Guest must present an identification document. After receiving the keys, the Guest assumes full responsibility for the apartment and its furnishings. The Guest has two hours after check-in to report any issues or damages. Failure to report any problems will be considered an acceptance of the apartment’s condition.

After check-out, a Baltic-Apartments employee will inspect the apartment. The Guest is responsible for any damages or losses. If any damage occurs, the Guest will be charged for repair costs and, if necessary, for the rental costs during the restoration period.

Reporting Damages: The Guest must check the apartment for damages or missing items immediately after check-in. If damages are discovered after the Guest's departure, the tenant will be held responsible.

§ 4. Guest Responsibilities

  • The Guest is responsible for maintaining cleanliness in the apartment, including cleaning dishes and kitchen appliances.
  • The apartment must be vacated by 10:00 AM on the departure day.
  • In case of lost keys, the Guest will be charged a minimum of 500 PLN, depending on the cost of lock replacement.

Smoking: Smoking inside the apartments is strictly prohibited. A fine of 500 PLN to 2000 PLN (or the equivalent in euros) will be imposed for violations.

Pets: Pets are only allowed if previously arranged with the rental company. If an unregistered pet is found, the Guest will be fined 500 PLN.

Quiet Hours: Guests must observe quiet hours from 10:00 PM to 8:00 AM.

§ 5. General Terms

Baltic-Apartments is not responsible for any construction work in the building or neighboring properties, including noise disturbances.

For an additional fee, the Guest may request towel and bed linen changes or extra cleaning services.

Lost items left in the apartment can be sent back at the Guest’s expense via courier service. After three months, unclaimed items will be donated to charity.

§ 6. Data Protection

Baltic-Apartments is the data controller for Guest personal information. Data is processed to fulfill the rental agreement, including reservations, payments, Guest communication, and invoicing. The legal basis for processing is Article 6(1)(b) of the GDPR. Guests have the right to access, modify, or delete their data.

§ 7. Complaints

Complaints must be submitted immediately, in person at the office, by phone, or via email. Complaints should include the Guest’s name, stay date, apartment number, and a description of the issue. Complaints are reviewed within 14 days.

Refunds for reservations and discounts are processed according to the company’s internal policies. Details on refund calculations and conditions are outlined in an internal document available upon request at the company’s headquarters.

§ 8. Final Provisions

For matters not covered by these regulations, the provisions of the Polish Civil Code and other applicable laws shall apply. Any disputes shall be settled by the court with jurisdiction over Baltic-Apartments' registered office.

Baltic-Apartments reserves the right to amend these regulations, and changes take effect upon publication on the website.
